1. Who we are

ClosePilotAI ("we", "us") is owned and operated by ADIVA DIGITAL VENTURE (SSM registration no. 202603176026), a business registered in Malaysia. We provide an AI-assisted WhatsApp customer messaging platform for businesses. This policy explains what data we collect, why, and how it is used when you use our service or when your business's customers message a WhatsApp number connected to our platform.

2. What we collect

  • Account information: name, email address, and password (stored hashed, never in plain text).
  • Business information: organization name, training data, and AI behaviour configuration you provide.
  • WhatsApp messages: inbound and outbound message content, sender phone numbers, and media (images, documents, audio) exchanged through connected WhatsApp Business numbers.
  • Usage data: AI token usage, message logs, and activity logs for billing and support purposes.

3. How we use it

  • To generate AI replies to WhatsApp messages on behalf of the connected business.
  • To operate core features: inbox, contacts, campaigns, templates, and analytics.
  • To improve reliability and troubleshoot issues.
  • To send transactional emails (password reset, email verification).

4. Third-party processors

Message content may be sent to AI providers (DeepSeek or OpenAI, depending on configuration) solely to generate a reply. Messages are sent and received via Meta's WhatsApp Business Platform. Files may be stored using a cloud storage provider (Cloudflare R2 or equivalent). Transactional emails are sent via Resend.

5. Data retention & deletion

Message and account data is retained for as long as the account is active, and may be deleted on request. You can request deletion of your organization's data at any time — see our Data Deletion Instructions. Data delivered through Meta's WhatsApp Business Platform is also governed by Meta's own policies.

6. Your rights
